Events and Fundraising Coordinator
Overview:
The Event and Fundraising Coordinator is responsible for planning, organizing, and executing free community workshops, monthly cultural fundraising events, online donation campaigns, in-person fundraisers and canvassing, and 4 large fundraising events per year. This role requires strong organizational skills, attention to detail, and a passion for the ACA’s mission.
The ACA is a 501(c)(3) non-profit organization that provides human services to immigrants, refugees, and asylees in the Greater Binghamton area. It also seeks to expand multiculturalism regionally, fostering understanding and strengthening communities. At the ACA, we believe that When New Americans Thrive, We All Thrive.

Compensation:
$20 per hour
Key Responsibilities:
- Free community workshops
- Follow up on community partnership leads provided by the Marketing and Outreach Manager and suggest new leads to the Marketing and Outreach Manager.
- Meet with the community partners to review or suggest information being presented, ensuring that the information is presented in a way that English
- Language Learners will be engaged and leave the workshop with an understanding of the information presented.
- Set up dates and times for the workshops, send in approval requests to our grants, relay information to be included on the flyers to the Marketing and
- Outreach Manager, maintain communication with the presenters and confirm equipment needed, oversee set up and tear down of workshops.
- Debrief with the presenters after the workshop and send thank you notes.
- Monthly Cultural and 4 Large Fundraising Events
- Meet with the event committee regularly to present event ideas, date and times, budgets, fundraising goals, and timelines
- Provide Marketing and Outreach Manager with themes and details needed for the marketing materials needed to promote the event
- Keep detailed reporting information before, during, and after the event including expenses, number of attendees, donations and fundraising income, etc.
- Recruit and manage volunteers for the events (leads provided by Marketing and Outreach Manager). Hold briefings with volunteers before the events with clear role for the volunteers.
- Coordinate with the Marketing and Outreach Manager for leads on vendors, suppliers, entertainers, etc.
- Arrange all food, entertainment, music, decorations, etc. and prepare a contingency plan
- Oversee set-up and tear down of events.
- Write thank you notes to all the donors and volunteers that helped.
- Hold debriefing meetings with the event committee
- Fundraising Initiatives
- Meet regularly with the Marketing and Outreach Manager and Finance Officer to discuss reporting of fundraising made through events and campaigns
- Develop online campaign ideas and work with the Marketing and Outreach Manager to implement and maintain.
Qualifications:
- Experience in planning small to large events and fundraising, preferably with non-profits.
- Ability to see the big picture and then break it down into tasks, to be flexible, and to communicate clear directions.
- Strong time-management, multi-tasking, organizational, and problem-solving skills.
- Proficient in negotiating, budgeting, and decision-making.
- Ability to work under pressure in a busy environment and as part of a team.
- Passion for the organization’s mission.
- Reliable transportation is a must.
